This Privacy Policy explains how Willow Acres Weddings & Events LLC (“Willow Acres,” “we,” “us”) handles information in the Trellis operations platform (the “Service”). It covers venue staff who log in to manage operations and couples who use the client portal.
Information we collect
Account information such as name, email address, role, and emergency contact details. Event and planning information such as wedding dates, guest counts, venue areas, checklists, run-of-show details, vendors, and notes. Financial information such as invoices, payment schedules, and payment records. Payment card details are entered directly with our payment processor and are not stored by Willow Acres. We also collect limited technical and diagnostic information, such as error logs, needed to keep the Service running.
How we use information
We use information to operate the venue and the Service: to schedule and run events, manage staff and inventory, prepare and collect invoices, communicate with couples and vendors, and keep the platform secure and working. We do not sell personal information, and we do not use it for third-party advertising.
Service providers
We rely on a small number of service providers to run the Service. Each receives only the information needed to perform its function.
- Supabase, for database hosting, authentication, and file storage.
- Square, for processing payments. Payment card data is handled by Square under its own terms and security controls.
- Sentry, for application error monitoring and diagnostics.
- A third-party artificial intelligence provider, which processes the text you send to the in-app assistant to generate responses.
- Vercel, for application hosting and delivery.
The Service does not run advertising or social-media tracking pixels and does not include Google Analytics or the Meta Pixel.
Artificial intelligence
The Service uses artificial intelligence to generate and automate certain outputs. When you use AI features, the content you submit is sent to our AI provider to produce a response. AI output can be wrong or incomplete; review it before relying on it.
Data retention
We keep information for as long as needed to operate the venue, meet our recordkeeping and tax obligations, and resolve disputes. When information is no longer needed, we take reasonable steps to delete or de-identify it.
Your choices
Depending on where you live, you may have rights to access, correct, or delete personal information we hold about you, and to ask how it is used. To make a request, contact us using the details below. We will respond consistent with applicable law.
Security
Access to the Service is role-based, so staff and couples only see the data appropriate to their role. We use reasonable technical and organizational measures to protect information, though no system can be guaranteed fully secure.
Children
The Service is intended for venue staff and adult clients and is not directed to children under 13. We do not knowingly collect personal information from children.
Changes
We may update this Privacy Policy from time to time. When we do, we will revise the date at the top of this page.
